The CSS Office Assistant performs a wide variety of tasks, including standard clerical duties such as answering incoming phone calls, managing student sign-in and sign-out, and filing.

Monday-Thursday 4:00 – 6:00 p.m.

Position Overview:
The CSS Office Assistant performs a wide variety of tasks, including standard clerical duties such as answering incoming phone calls, managing student sign-in and sign-out, and filing.
Primary Functions:
- Operate within the guidelines and boundaries of confidentiality and FERPA compliance.
- Handling a multi-line phone system.
- Assisting staff and students with tasks and information.
Responsibilities and Duties:
- Organizing the lobby area space (chairs, tables, sanitizing, etc.)
- Greeting and making sure students sign-in and out
- Answer phone and greet visitors, providing them with information and directing them to the appropriate locations or offices on campus.
- Assist Office Coordinator in monitoring the level of office supplies (copy machine paper, emptying the shredder).
- Equipment and technical support: maintaining office equipment and providing basic technical support for students.
- Data entry: enter Open Learning attendance daily, sorting and delivering Open Learning forms to respective LS.
- Student support: They may interact with students and parents, providing information and support as needed
- Administrative support: provide support to other staff members in preparing communications, such as memos, flyers, etc., as well as photocopying.
- Write and edit documents from caseloads and schedules
- Student management
- Other tasks as assigned
Requirements:
- Communication skills in person, via phone and in writing.
- Skills at organizing space and materials
- Time management skills, reliability
- Must be proficient at Microsoft Office
- Must be professional and courteous to students, faculty, and learning specialists.
- Adept at working independently, as well as working with others in a team environment.
- Maintain good academic and social standing at Beacon College (GPA 3.0 or above; no disciplinary warnings in the semester preceding application).
