Position reports to: Director, Center for Career Preparation
Specific Responsibilities:
The Career Center Progam Assistant shall be responsible for performing the following functions and activities:
- Provide program support to Career Center staff, students, faculty and partners as directed. Includes daily program/event support, facilitation of Career Center services and general day-to-day operations of the site during weekday hours of operation (8:30 a.m – 5:00 p.m.) and occasional weeknights/weekend days (4-5 per year);
- Take a proactive role in working with students and alumni to gauge their Career Center needs and help facilitate effective student engagement;
- Utilize secure, cloud-based technology and software (ex. JotForm, SurveyMonkey, Handshake, BigInterview) to enhance customer service and support student success;
- Effectively use MS Office (Word, Excel, Access) to document/provide necessary content and maintain data for varied reports and other Career Center communication;
- Provide support needed to create and secure marketing material for Career Development Center events/programs;
- Source content and images for a Career Center publications, flyers, social media as requested;
- Provide daily support to effectively mange and operate the Career Center Professional Clothing Closet, steward student users and donors;
- Demonstrate responsibility and initiative to independently complete tasks and projects related to students, staff and external partners;
- Assist students in using Career Center resources, preparing for, interviews and career fairs/events as directed;
- Engage in targeted presentations provided to visitors or other planned guests as needed;
- Assume receptionist duties such as providing excellent guest services (greeting visitors, assisting students with electronic sign in, and referring them to appropriate staff);
- Perform operational tasks such as making copies, priting/posting flyers, answering the phone, taking messages; organizing filing system, maintaining/ordering office supplies, maintain lobby, classroom and meeting space as needed; submit requests for facilities and other internal/external services;
- Support Career Center meetings/events such as managing meeting room calendars, preparing meeting room and related technology/materials, managing meeting invitations and capturing meeting minutes/notes as needed, inventory, organize meeting/event supplies and signage;
- Collect/distribute mail from central location, preparing outgoing mail, retrieve and reconcile incoming shipments;
- Demonstrate responsibility and initiative to independently complete tasks and projects;
- Exhibit professionalism in a customer service-oriented environment;
- Become familiar with all College policies and procedures and complying with these policies and procedures;
- Participate in all required College-wide and Divisional meetings, training, and events as made known by institutional policy, the Board of Trustees, the President, the Provost and/or the Director;
- Seek and engage in professional training (with the Director’s approval, if required by College policy) to develop/enhance knowledge and skills that will benefit individual and communal performance in all institutional areas; and
- Perform other professional duties as assigned.
Degree Requirements: Minimum: Bachelor’s Degree
